Privacy Policy
Last updated: Draft, October 2026
This policy explains how [Competitive IQ legal entity name] (“Competitive IQ”, “we”, “us”) collects, uses and protects personal information when coaches, players and parents or guardians use the Competitive IQ platform, including the Coach Portal, player intake and consent pages, and related emails.
Who uses Competitive IQ
- Coaches are certified golf coaches who set up GAP cognitive assessments for their players.
- Players take the assessment. Players do not need an account; they receive a personal link by email.
- Parents and guardians give consent for players under 18.
Players must be at least [minimum age, recommended 13] years old. We do not knowingly collect personal information from children under 13.
Information we collect
From coaches
- Name, email address, facility name and certification status.
- The assessments you order and their status.
About players
- Name, email address and date of birth (to confirm age and whether guardian consent is needed).
- Level of play and other background details asked for on the intake form.
- The assessment product ordered, its access code, and its status.
- Assessment results and reports, when they are provided to us by our assessment partner.
About parents and guardians
- Name, email address, phone number (if given) and relationship to the player.
Consent records
- Which version of each consent document was accepted, the name typed as a signature, the date and time, and the IP address and browser used. We keep these records to show that consent was given.
Payments
- Payments are processed by Stripe. Card details go directly to Stripe; we never see or store full card numbers. We keep a record of the amount, status and Stripe’s reference for each payment.
How we use information
- To set up and run assessments, issue access codes and show coaches the status of their orders.
- To ask for and record consent, including guardian consent for players under 18.
- To take payments, issue receipts and handle refunds.
- To send emails about an assessment (for example intake links, consent requests and access codes).
- To keep the platform secure, prevent misuse and meet legal obligations.
We do not sell personal information, and we do not use it for advertising.
Our assessment partner
GAP assessments run on stations provided by our assessment partner, [S2 legal name]. We share only an access code with them. They do not receive the player’s name, email address or other contact details from us. [Confirm with S2 before publishing.]
Who else processes information for us
- Amazon Web Services hosts the platform and sends our emails, in the United States.
- Stripe processes payments.
- Your coach can see the details and status of assessments they ordered for you, and your results once released.
We may also disclose information if the law requires it, or to protect the rights and safety of our users or others.
How long we keep information
[Retention periods to be set with counsel, for example: account and order data for the life of the account plus N years; consent records for N years after the player turns 18.]
Security
Information is encrypted in transit and at rest. Access is limited to people who need it to run the service, and access to sensitive records is logged.
Your choices and rights
You can ask to see, correct or delete personal information we hold about you or your child, or withdraw a consent. Withdrawing consent does not affect assessments already completed. Depending on where you live, you may have further rights under state privacy laws. To make a request, contact us at [privacy contact email].
Changes to this policy
If we change this policy, we will update the date above. If a change affects consent you have given, we will ask again before it applies to you.
